There may be times when you want to customize Word's built-in toolbars, or simply reorganize them. You may easily copy or move a toolbar button from one toolbar to another. This will make it easier to mix and match from existing toolbars to custom toolbars for special projects, tasks, or just for comfort and ease. To move a button between toolbars:

  1. Display the target toolbar
  2. From the menu bar, select Tools - Customize
  3. Click on the Toolbar tab
  4. Place the mouse pointer over the button you want to move
  5. Click on the left mouse button and drag the button to the new location
  6. Drop it into place by releasing the mouse button

To copy a button instead of moving it:

  1. Follow the above steps 1-4
  2. Hold down the Ctrl key and left mouse click on the button and drag it to the new location
  3. Drop it into place and release the mouse button

A + sign will appear next to the button outline to show that you are copying instead of moving.

How do I replace a toolbar button image with text?

When working with Microsoft Word you become familiar with most of the toolbar buttons. However, there may be buttons you rarely use and therefore cannot remember their function. If you place the mouse pointer near the bottom of the button's lower right corner, Word will display the button's name. However, a more effective approach than continuously placing the mouse pointer under every button is to change the button images to text. The button you want to edit must already be displayed on the toolbar.

To display a button on the toolbar:

  1. From the menu bar choose View - Toolbars
  2. Click on Customize
  3. Pick a button you want to edit
  4. Drag the button to your toolbar

If your button already exists on the toolbar:

  1. Place the mouse pointer on your toolbar
  2. Right click and select Customize

To change the button image to text:

  1. Leave the Customize dialog box open
  2. Place the mouse pointer on the selected button on the toolbar and right mouse click
  3. Select Choose Button Image
  4. The Custom Button dialog box will open
  5. In the Text Button Name text box, type the text you would like to appear on the button (by abbreviating names you will avoid taking up too much toolbar space)
  6. Click Assign
  7. To change other buttons, just repeat the preceding steps...right click each button, etc.

You may also need to resize the button to fit the desired text. To do this:

  1. Display the Customize dialog box
  2. Click on the button you want to resize
  3. Hold the mouse pointer by the right edge of the button until you see the arrows appear
  4. Drag the right border of the button to the left/right to decrease/increase its size
  5. Click Close

Your toolbar will now consist of text buttons instead of image buttons.

NOTE: As mentioned earlier, Word will display a button's name when you move the mouse pointer to the its lower right corner. However, this is only true with button images. When you replace a button image with text, Word will no longer display the corresponding name.
